10 Best GST Billing Software for Small Business in India (2026)
Last month a client of mine, a hardware wholesaler in Ghaziabad, called me in a mild panic. His accountant had gone on leave for a family wedding, and he could not figure out how to raise a credit note against an e-invoice his customer had rejected. He was still on a desktop-only Tally setup from 2019. Seedha baat: the software was fine, but it did not match how his business actually runs in 2026, half on WhatsApp, half at the counter, and now with mandatory e-invoicing from a five-crore turnover threshold.
That call is basically why I decided to write this piece. Every second small business owner I meet asks me the same question, which is the best GST billing software for a shop like mine. And honestly, the answer is never one name. It depends on your turnover, your billing volume, whether you deal in inventory or services, and how comfortable your staff is with technology.
I have used or set up most of the tools on this list for clients, and I run a small retail outlet myself where I currently use GST billing software alongside a basic POS. So this is a working practitioner's list, not a marketing roundup. Let me walk you through the ten I actually recommend in 2026, and where each one genuinely fits.
How I judged these tools
Before the list, quick note on what I looked at. Not just price. I checked GST return readiness (GSTR-1, 3B, 9), e-invoice and IRN generation via the NIC portal, e-way bill integration, offline mode for shops in low-network areas, multi-user access, and after-sales support in Hindi and regional languages. I also gave weight to whether the vendor has kept pace with 2024-2025 GST changes, like the ISD amendments and the reduced e-invoicing threshold under CBIC Notification No. 10/2023-Central Tax.
A tool that cannot handle e-invoicing today is a liability. From 1 August 2023, businesses with aggregate turnover above 5 crore must generate e-invoices for B2B supplies, and the GST Council has hinted this may drop further. Pick accordingly.
1. BillClap
Full disclosure, this is the BillClap blog, so I will be specific rather than fluffy. I moved my own store to BillClap in late 2024 after struggling with a desktop tool that could not handle WhatsApp bill sharing.
What it does well: GST-compliant invoices with HSN auto-fetch, direct e-invoice generation with IRN and QR, e-way bill in the same flow, inventory with batch and expiry, multi-branch, and a POS mode that works on a basic Android tablet. Pricing starts around 200 rupees a month on the annual plan, which is honest for what you get. Their AI Access feature lets you query your business over chat, useful when I want yesterday's sales without opening a report.
Where it is not the right fit: if you are a chartered accountant managing 50+ books, you probably still want Tally or Zoho on the ledger side.
2. Tally Prime
Still the gold standard for accounting depth. Tally Prime 4.x added connected e-invoicing and WhatsApp sharing, which was a real overdue upgrade. If your CA insists on Tally data, or you have complex ledger scenarios, TDS, and job work, this is hard to beat.
Downside: licence cost is around 22,500 rupees single-user perpetual, plus TSS renewal. Not cloud-native in the way newer tools are, and the learning curve for a new shop staff member is real. Best for businesses above roughly 2 crore turnover with a dedicated accounts person.
3. Vyapar
Very popular with kirana stores, small manufacturers, and mobile-first owners in tier 2 and tier 3 cities. Clean Android app, decent desktop version, GST bills, and basic inventory. Pricing is roughly 3,299 rupees a year for mobile plus desktop.
Honest take: great starter tool. Once you cross about 50 invoices a day or need branch consolidation, you will feel the ceiling.
4. myBillBook
Backed by Razorpay, aimed squarely at small retailers and distributors. Strong on WhatsApp bill sharing, staff attendance, and payment collection reminders. Around 1,999 to 3,999 rupees per year depending on plan.
I recommend it to salon owners and small service businesses who want simple, mobile-first billing. Inventory features are decent but not deep enough for a hardware or pharma distributor.
5. Zoho Books
The choice I suggest when a business has both India GST and some export or SaaS revenue. Beautiful UI, proper double-entry accounting, GST returns, and integrates with Zoho Inventory, CRM, and Payroll. Free plan for businesses under 25 lakh turnover, which is genuinely useful.
Paid plans start around 749 rupees a month. Where it falls short: retail POS and counter billing. Zoho is an accounting tool first, billing tool second.
6. Swipe
Newer entrant, mobile-first, quick invoice creation, e-invoice and e-way bill support. Free tier is generous. Good for freelancers, consultants, and very small traders who want to send a professional GST invoice in under a minute.
For inventory-heavy businesses, look elsewhere. For a Delhi-based interior designer or a Pune freelance developer, Swipe is a fine pick.
7. Marg ERP
The unsung workhorse of Indian pharma distribution and FMCG wholesale. If you are running a chemist shop or a distributor with schemes, batch, expiry, and 22B compliance, Marg understands your world better than most cloud tools. Pricing is roughly 8,100 rupees onwards.
UI feels dated, and cloud experience is patchy, but the domain depth is real. My pharma clients in Lucknow refuse to switch.
8. Busy Accounting
Popular with mid-sized traders and manufacturers, especially in North India. Strong on multi-location inventory, manufacturing, and MIS reports. Handles GST returns and e-invoicing well.
Licences start around 9,999 rupees. Similar profile to Tally in terms of who it suits, slightly cheaper and, some argue, easier for trading businesses.
9. ClearOne by Clear (formerly ClearTax)
From the same team that built the widely used GST return filing platform. ClearOne is their billing product, tightly integrated with return filing and e-invoicing. Good pick if you want billing and filing under one login.
Pricing is competitive, and their compliance intelligence is a real strength given their filing volumes.
10. Refrens
Aimed at freelancers, agencies, and service exporters. Multi-currency, proforma invoices, quotations, and clean client portals. GST-compliant for Indian users, but its sweet spot is service businesses that also invoice foreign clients.
Not for retail. Very good for a Bengaluru design studio or a Jaipur export house doing small consignments.
So which one should you actually pick?
Here is how I break it down when a client asks:
- Retail shop or small distributor under 5 crore: BillClap, Vyapar, or myBillBook. Test on mobile first.
- Wholesaler or distributor with inventory depth: BillClap or Marg, depending on industry. For pharma, Marg. For general wholesale, our wholesaler billing setup covers batch, scheme, and multi-godown well.
- Manufacturer or trader above 2 crore with a dedicated accountant: Tally Prime or Busy.
- Service business, freelancer, agency: Zoho Books, Swipe, or Refrens.
- Anyone who wants billing plus filing in one place: ClearOne or Zoho Books.
One more thing. Whatever you pick, please verify two boxes before paying: e-invoicing readiness with live IRN generation, and proper e-way bill compliance for goods movement above 50,000 rupees. I have seen too many small businesses buy cheap tools and then get stuck at the checkpost.
And if you are still deciding, do what I tell every client, run a two-week trial with your actual last month's data. Not demo data. Real bills, real customers, real returns. That is the only test that matters.
A note from BillClap
If your daily headache is raising GST invoices quickly, getting IRN and e-way bill without switching tabs, and sending bills on WhatsApp before the customer leaves the counter, BillClap was built for exactly that. We are not trying to replace your CA's Tally, we are trying to make your billing counter faster and your returns cleaner. Frequently Asked Questions
Which is the best GST billing software for a small kirana or retail shop?
For most kirana and small retail shops, I recommend BillClap, Vyapar, or myBillBook because they work well on Android, handle GST invoices, and let you share bills on WhatsApp. Pick the one whose interface your counter staff finds easiest during a two-week trial. Avoid heavy desktop-only tools at this stage.
Is free GST billing software safe to use for my business?
Free plans from established vendors like Zoho Books, Swipe, or BillClap are generally safe because your data sits on their cloud with proper encryption. What you must check is the export option, so if you ever leave, you can take your invoices and ledgers out in Excel or Tally format. Avoid unknown free tools with no company address or GST number listed.
Do I need software that supports e-invoicing if my turnover is below 5 crore?
Technically no, e-invoicing is mandatory only above 5 crore aggregate turnover as per CBIC Notification No. 10/2023-Central Tax. But the GST Council has been steadily lowering this threshold since 2020, so I suggest picking software that already supports e-invoicing. It costs nothing extra now and saves a painful migration later.
Can I switch from Tally to a cloud billing software without losing data?
Yes, most modern tools including BillClap, Zoho Books, and ClearOne offer Tally data import for masters like items, parties, and opening balances. Ledger history is trickier, so many businesses keep Tally for old year data and start the new financial year fresh on the cloud tool. Plan the switch around 1 April for a clean cutover.
What is the real monthly cost of GST billing software for a small business?
Realistic budget for a small business in 2026 is 200 to 800 rupees a month for cloud tools like BillClap, Vyapar, or myBillBook on annual plans. Zoho Books sits slightly higher at 750 rupees plus. Tally and Busy are one-time licences of 9,000 to 22,500 rupees plus yearly renewal. Do not forget to budget for one training session for your staff.
Which GST software is best if I sell both online and in-store?
Look for a tool that combines POS billing with an online storefront or marketplace sync. BillClap's POS setup along with Digital Dukaan covers this well for small brands. Otherwise, Zoho Books with Zoho Commerce works for slightly larger businesses that already use Zoho.
